What we store

• Your account: email address, a password hash, sign-in times, and the organisation you belong to.
• Your company profile: the capabilities text, CPV interests, regions, value range and keywords you enter. This is used only to score notices for you.
• Notice data: public procurement notices from Find a Tender, Contracts Finder and Public Contracts Scotland, including the buyer contact details exactly as the buyer published them. We do not add to them from other sources.
• Scores and rationales: the rule score and the AI-generated summary for each notice matched to your profile, and what you did with it (shortlisted, dismissed, bidding).
• Emails sent: a record of every digest we send you: when, to which address, and which notices it contained.
• AI job records: for each AI call made for your organisation, the type, the model, what it cost and the answer that came back.

How the AI scoring works

Your profile text and the public notice are sent to an AI model (Anthropic's Claude, via its API) to produce the fit score and reasons. No account or payment details are sent. Anthropic's API terms apply to that processing.

How long we keep it

• Raw notice data: 12 months.
• Matches, scores and rationales: 24 months, or until the notice they relate to has closed and its contract has ended, whichever is later.
• Account and profile data: until you delete your account. Deleting it removes everything at once; backups roll off within 30 days.
• Email send records and AI job records: 24 months, for audit.

A nightly job enforces these periods.

Emails

Every email carries a one-click unsubscribe link that works without signing in and takes effect immediately. We send transactional email through Brevo.

Your rights

You can see and change your profile at any time in the app. Settings has a button that downloads everything we hold for your login as one file, and a link that deletes your account and all of its data immediately. For any other question, write to john.spencer.maui@gmail.com.
